Why the first response to a lead is your most important moment
A lead who submits a viewing request or fills in a form rarely does so at just one office. Whoever calls back first sets the tone of the conversation. Whoever responds too late rings a doorbell at a door already open for someone else.
The competitor is standing right next to you
An interested buyer or seller is at a decision moment. They have just taken action — submitted a request, clicked a button — and their attention is at its peak. That window is short. As time passes, the urgency fades and attention shifts to the office that has already responded.
This is not an argument for haste for its own sake. It is an argument for structure: make sure every incoming lead immediately lands in a fixed place, with a concrete task and a deadline for the follow-up.
Speed without structure does not work
Responding quickly is easy on paper; keeping it up when five leads come in at once is something else. The solution is not working harder, but setting up a way of working that enforces speed without you having to actively think about it every time.
In Klimosa, every new lead automatically gets a file and a follow-up task with a deadline. That way nothing falls through the cracks, even on busy days.
Lead score as a compass for the calling order
Not every lead deserves the same urgency. A warm lead — someone who has been in contact before, attended a viewing or looked at multiple properties — calls for a different response time than a cold registration.
Klimosa attaches a lead score to every contact: warm (40–69), hot (≥70) or cold (<40). This lets you see at a glance who belongs at the top of your call list. You decide when to call; the score gives you the context to make that decision well.
- Hot leads (score ≥70): call the same day, preferably within the hour.
- Warm leads (score 40–69): call within 24 hours, and send a short confirmation message in the meantime.
- Cold leads (score <40): schedule a follow-up task for later in the week; set a reminder for two weeks from now if there is no response.
What do you do if you cannot call the lead right away?
Sometimes an immediate call attempt is not feasible. Then a short, personal message helps: confirm that you have received the enquiry, state when you will call and make sure the message does not feel like an automated reply. Concrete and concise beats elaborate and impersonal.
The file in Klimosa records the timeline: when the lead came in, when you responded and what was discussed. That way you have the full context at hand at every subsequent contact moment.
